Getting started

What is Veriroo?

Veriroo is a platform for art authentication, provenance and secure sales. Artists and collectors can prove authenticity, build a living record of ownership, and buy or sell originals and limited editions with escrow-protected payments. When a piece is resold through Veriroo, the artist's resale royalty is paid automatically.

Artists can also sell open prints of their work: printed to order by a fine art lab and delivered to buyers in the UK and the US.

What is an open print, and how is it different from an original or a limited edition?

An original is the one-off artwork itself. A Veriroo limited edition is a numbered run of prints that the artist makes, signs and ships, each with its own Certificate of Authenticity. An open print is a reproduction of an artwork on Veriroo, printed to order by a fine art lab and delivered straight to the buyer.

Open prints are unsigned, unnumbered and unsealed, come without a certificate, and are not a limited edition, so they never sell out. Buying one does not give you ownership of the artwork: the artist keeps the original and the rights to the image.

How does verification work?

Each piece is registered to a digital record on Veriroo. A QR code or NFC tag links to that record so anyone can view the item's status, provenance, and ownership history. Independent expert verification can be added at any time to strengthen the trust level shown on the record.

Do you support royalties?

Yes. Artists set a royalty percentage when registering a piece. On every verified resale through the marketplace, the royalty is automatically calculated, deducted from the sale proceeds, and transferred to the original creator via Stripe.

What does it cost?

Creating an account and uploading to your private collection is free. Originals and limited editions sold on the marketplace carry a 5% platform fee plus card processing, taken from the seller's payout. Open prints carry a Veriroo fee of 15% of the print price (minimum £3 a print), with card processing already inside it, and printing and delivery are passed through at cost.

Expert verification is the verifier's own fee plus a Veriroo surcharge of 20% (10% on any Pro plan), and a Certificate of Authenticity is included when a work passes. Otherwise a certificate uses one CoA credit, £5 or less when bought in packs. Verity AI valuations use one valuation token each.

Pro plans lower the verification surcharge and unlock extras. Artist Pro adds your public artist gallery and your own print shop.

What is the marketplace platform fee?

Veriroo charges a 5% platform fee on the sale price when an original or limited edition sells through the marketplace. This is deducted from the seller's payout along with Stripe's payment processing fee, which varies by country and payment method. The payout breakdown is shown to sellers before they list so there are no surprises.

Open prints are priced differently: a Veriroo fee of 15% of the print price (minimum £3 a print), with card processing already included.

What if a tag is lost or damaged?

Use our secure replacement workflow to link a new QR/NFC to the same token history. The old tag is retired and marked as replaced. The item's digital record and full provenance history remain intact.

Can I use discreet NFC instead of a printed QR?

Yes. We support small, logo-only NFC marks for materials where a printed QR code is not ideal. Both NFC and QR point to the same Veriroo record.

Is my data private?

We keep personal data minimal and GDPR-safe. Public views show only what you choose to make visible. Your identity is pseudonymised on public pages unless you opt in to showing it.

How long does Veriroo keep my work?

Veriroo is designed for long-term stewardship, not short-term uploads.

  • Draft uploads are temporary. If you don't save an item, it may be removed after a period of time.
  • Anything saved to My art is kept for as long as you want it, as your private canonical record.
  • You stay in control: items can be kept private, shown publicly, listed for sale, or changed later. You can hide a piece from your view at any time, and delete one for good if nothing has been recorded against it yet.
  • Once a piece has a certificate, a sale or a transfer against it, its record is kept permanently, because other people rely on it.
  • Verification and provenance records are preserved long-term.
Role permissions at a glance

Veriroo roles define what actions you can take:

  • Collector: manage ownership, privacy, and transfers.
  • Artist: register originals and manage creator metadata until a first sale locks it.
  • Gallery/Shop: manage custody and point-of-sale flows without becoming the owner.
  • Verification Partner: access only items assigned to you (NDA + time-limited).
What does the marketplace show publicly?

Veriroo's marketplace is public by design for trust and price clarity.

  • For-sale price: always public while listed.
  • Artist royalty %: public so buyers can see how creators are supported.
  • Sold price: recorded after completion. The owner can choose whether sold prices are publicly visible on the verify page or kept private to their account.
What is Verity?

Verity is the Veriroo AI assistant. She’s here to help artists upload and list their work, help collectors discover art they’ll love, and guide verifiers through their jobs. Verity uses the ✦ star button in the header to open. For simple questions like this one she answers directly without using any of your daily credits. For deeper searches and discovery she uses a small credit from your daily or monthly allowance.

How many Verity credits do I get?

Free accounts get 25 AI-powered queries per day. Signed-out visitors get 5 per day.

Guided onboarding flows, FAQ answers, navigation help, and upload assistance are always free and don't use any credits.

Credits reset daily.

What happens if I delete my account, or hide or delete a piece?

Hiding a piece only changes what you see. It leaves your collection view on every device, and its record, certificate and verify page carry on unchanged. Bring it back at any time from the Hidden filter.

Deleting a piece is permanent. Its images, notes and progress entries are removed, and the old link simply says the record was removed. You can only delete a piece that has nothing on record against it, so no certificate, sale, transfer, seal, numbered prints, verification or commission.

Deleting your account is something you do yourself: on the website go to Account, then Profile & settings, then Delete account; in the app, open Profile. It erases your personal details, takes your listings off sale and removes your sign-in straight away.

Your pieces and their images are not removed automatically. If you would like them removed, email support@veriroo.com before you delete your account and we will do it for you. Pieces that have a certificate, an order, a new owner, a Secure Seal, numbered prints, a verification or a commission keep their record.

Deleting your account cancels an Artist Pro subscription bought on the website straight away, with no refund for the rest of the period. If you subscribed in the app, cancel it in the App Store or Google Play first.

How can I help identify an unknown artist?

If an item shows Unknown artist, you can help by sharing evidence so we can invite the likely artist to confirm authorship.

  1. Collect proof: clear photos (front/back), any signature/marks, and any paperwork.
  2. Add context: where/when you acquired it and any known history.
  3. Submit the lead via the item page (or contact support) and include an email address for the artist if you have one.

If the artist confirms, the item can show the artist name as identified, but it still remains unverified until an official verification is completed.

How do I sign up and choose my role?

Creating a Veriroo account is free, head to Sign up and register once. Every account starts as a collector, with your own private collection area.

You can add other roles whenever you're ready: switch on artist tools instantly from your account to register and sell your own work, or apply to the Expert Verification & Valuation network (applications are reviewed before access is granted). One free account covers all three, there's no separate sign-up per role, and no card is needed to join.

How does Verity AI valuation work, and what does it cost?

Verity AI valuation gives a piece an indicative market estimate with a confidence level, and says in plain words what it is based on, for example "based on 4 sales confirmed by their buyers". It's a guide, not an appraisal: for a formal figure, commission an expert valuation.

A fresh valuation is available once the artist whose work it is has 5 confirmed sales on Veriroo, counting sales settled through Veriroo and off-platform sales their buyers have confirmed. Until then the valuation button is greyed out and shows the count so far, and no token is spent. The owner can value a piece, and anyone can buy their own private valuation of a piece that is listed for sale.

Running a fresh valuation uses one valuation token. Valuation tokens are separate from Verity assistant credits: they're included with a Pro subscription, earned when your work sells, or topped up any time in bundles. If the result comes back insufficient, the token is refunded. Once a valuation has run you can view it again for free, and re-value the piece later to see how its estimate has moved.

Certificates & provenance

When is a Digital Certificate of Authenticity issued?

Expert verification is the only route where a Certificate of Authenticity is included: it is covered by the verification fee. Every other certificate is paid for with a CoA credit (£5 for one, or less each in packs).

For an original, the artist can issue one from CoA Services once the piece reaches full provenance. If the artist hasn't included one and the piece qualifies, the buyer can tick Add a Certificate of Authenticity (£5) when they buy it. That is the only time a buyer can add one: once a piece has sold, a certificate needs an expert verification. Every limited edition print gets its own certificate when it sells, paid with one of the artist's credits, or £5 off that sale's payout if they have none.

Each certificate has a QR code that links to the work's live record. Open prints never come with a certificate.

What does "Unverified" mean?

Unverified means this item exists in a personal collection but does not yet have a digital Certificate of Authenticity (CoA) or verified provenance record.

What you can do: Nothing is required. If you want stronger trust signals, you can request verification or issue a CoA (using CoA credits, purchased separately).

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Verified" mean?

Verified means a digital Certificate of Authenticity (CoA) has been issued and standard verification checks have been completed.

Ownership transfers must be completed through Veriroo to ensure the record stays accurate.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Verified by Expert" mean?

Verified by Expert means an authorised independent expert has authenticated the piece based on specialist knowledge and inspection.

This is a strong trust signal, but it is not the same as a full chain of custody unless documented provenance is also provided.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Provenance complete" mean?

Provenance complete means the item has a certificate and the provenance record has been verified together with supporting custody documentation.

This is the strongest trust level. Suitable for sales, loans, gallery due diligence, and insurance.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Marked lost" mean?

Marked lost means the current registered owner has reported the item missing (not confirmed stolen).

Buying and selling should be paused. If you are the owner and the item is found, update the status to restore normal use.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Reported stolen" mean?

Reported stolen means the current registered owner has reported the item stolen.

Do not buy, sell, or move the item. If you have legitimate information, follow the guidance on the status page and contact support.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Tag replaced" mean?

Tag replaced means the physical QR/NFC tag was reissued (for example: damage, end-of-life, or security). The previous tag is invalidated.

Always scan the newest tag or the latest certificate. The item's digital record remains the same.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Blocked" mean?

Blocked means the certificate has been blocked due to a serious integrity issue (confirmed counterfeit or security breach).

Treat the certificate as invalid. Do not rely on it for buying, selling, or insurance. Follow the guidance on the status page for next steps.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Void" mean?

Void means the certificate is no longer valid (superseded, invalidated, or retired).

Check whether a newer certificate or replacement tag exists. If not, contact support before relying on this record.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What does "Inconclusive" mean?

Inconclusive means an independent verifier could not reach a definitive conclusion based on the evidence available at the time of inspection.

It does not mean the item is fake. The item shows as Amber (Not Verified). The verification attempt is recorded in provenance for transparency, and the owner can request a second independent verification.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

Can an item be verified again after an inconclusive result?

Yes. An item can be submitted for a second independent verification after an inconclusive result.

The second verification is a new job with a new fee and must be completed by a different verifier. The second verifier is told that a prior attempt was inconclusive (without sharing private notes).

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What happens if a second verifier confirms the item is genuine?

If a second independent verifier confirms the item is genuine, the trust status returns to Green (Verified).

The earlier inconclusive attempt is not removed, it remains in provenance for transparency. The most recent successful verification defines the current trust state.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

Can an inconclusive result be hidden or removed?

No. Veriroo does not remove or overwrite verification history.

All verification attempts (including inconclusive outcomes) are recorded in provenance so buyers, sellers, and owners can understand what checks have been performed over time.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What if two verifiers disagree?

If two independent verifiers reach different conclusions, the item may be temporarily restricted from sale while the evidence is reviewed.

Veriroo may require an additional verification or supporting documentation before the item can be listed as verified again.

Physical certificates, QR codes, and NFC tags do not by themselves prove ownership. Ownership is determined solely by the Veriroo record.

What happens to artist resale royalties if they are never claimed?

On a resale through Veriroo, the creator's royalty is calculated, deducted from the sale proceeds and paid to the creator as part of that sale. Nothing is held back to be claimed afterwards.

Veriroo does not operate a scheme for collecting statutory artist resale royalties on sales that take place elsewhere.

How long can an artist claim resale royalties?

There is no claim period, because Veriroo does not hold royalties to be claimed later. On a resale through Veriroo the creator's royalty is paid to them as part of that sale.

Veriroo does not collect statutory resale royalties on sales that take place elsewhere.

Can an owner set or change royalties on a piece they did not create?

Royalties are a creator right, so only the verified creator sets the rate.

The first time the piece sells, the incoming owner is asked once whether they accept it. From that point the percentage is fixed: nobody can change it, raise it or remove it, and every later transfer carries the same value without asking again.

Owners set a sale price; they do not set royalties.

Why is the royalty set to 0% on some items?

Royalties depend on verified creator attribution. If the item has no verified creator, Veriroo shows royalties as 0% and does not collect creator royalties.

Once the creator is identified and verified they can set a royalty rate for future activity, provided this happens before the first sale, after which the rate is fixed permanently.

Can I still set a royalty on a piece I sold before joining Veriroo?

Yes, but set it before you record the transfer.

On the first recorded sale the new owner is shown the royalty and asked to agree or decline. If they agree it locks at that percentage; if they decline it locks at zero. Either way it is permanent and can never be raised on a later owner.

If someone bought the piece years ago they had no chance to agree at the time, so they may decline, and that is their call.

Buying & collecting

Do I need an account to buy?

To buy an original or a limited edition, yes: you create or confirm a buyer profile during your first purchase, and your pieces and ownership records then live in your account.

Open prints are the exception. You can buy a print as a guest with just your email address and delivery details, and add the order to an account later if you like.

How does buying on the marketplace work?

Browse the Marketplace and click Buy on any listing. Your payment is held in escrow by Stripe and is not released to the seller until you confirm you have received the artwork. Once you confirm receipt, ownership transfers to you and any royalty due is paid to the original creator.

If the piece comes with a Certificate of Authenticity, it is issued to your account; every limited edition does. Open prints are bought separately on the Prints page and work differently: there is no escrow, and a print is not an ownership record.

When is my payment released to the seller?

Your payment is held in escrow until you confirm the artwork has arrived and meets expectations. Once you click Confirm receipt, payment is released immediately. If you take no action within 48 hours of the item being marked delivered, payment releases automatically so the seller is not left waiting indefinitely. If something is wrong, use Report a problem before then to pause it.

What is escrow and why does Veriroo use it?

Escrow means your payment is held securely by Stripe until both sides are satisfied. Veriroo uses escrow so:

  • Buyers never release funds until the artwork arrives and meets expectations.
  • Sellers know the funds are committed and held, there is no risk of non-payment.

Neither party can access the funds until the sale conditions are met.

Can I hide my collection?

Yes. Items in your collection are private by default. You control what is visible per item: Showcase, marketplace, or entirely private. Public views never reveal your personal identity unless you opt in.

You can also hide a piece from your own collection view. On My art, open the piece's panel and choose Hide from collection under Tidy up (in the app, Hide from my collection on the piece screen). Nothing is deleted, and the Hidden filter brings it back whenever you like.

What if I lose the Certificate of Authenticity?

The digital CoA is the source of truth and cannot be lost, it lives permanently in your Veriroo account. Sign in to view and download it at any time. If your physical QR or NFC tag is lost or damaged, use the secure replacement workflow to link a new tag to the same record.

Can I showcase my owned pieces publicly?

Yes. You can choose to showcase items from your collection or keep them private. Public views show the artwork and trust signals but do not reveal your personal identity unless you opt in. You control visibility per item.

My item shows "Unknown artist", what should I do?

This is common for older purchases or private collections. Your item can still be stored safely and shown in Showcase or Marketplace.

  • Keep it private if you're not ready to share details.
  • Help identify the artist by submitting evidence (photos and any paperwork). Include an email address for the artist if you have one.
  • Request verification if you need stronger trust signals for sale or insurance.

Even if an artist confirms authorship, the item remains unverified until an official verification is completed.

Why should ownership be transferred through Veriroo?

Only Veriroo can update the registered ownership record, so a change of hands is not reflected until it is recorded here. When a piece is sold through Veriroo this happens automatically.

If a piece changes hands elsewhere, the current owner can record the transfer afterwards so the certificate follows the piece to its new owner. Recording a transfer is free.

The royalty is recorded on the piece, but Veriroo can only pay it automatically on resales through Veriroo.

My marketplace order arrived damaged or wasn't as described - what can I do?

Don't confirm receipt. Open the purchase in My Purchases and tap Report a problem.

This pauses your payment straight away - nothing is released to the seller while a problem is open - and it notifies the seller and our team. The hold lifts only when you and the seller both mark the problem resolved, so payment is never released over your head.

Do this before the 48-hour auto-release window closes after delivery; that window is your protection. If you and the seller can't agree, Veriroo support is already copied in and will help. Your statutory rights for goods that are faulty or not as described always remain.

Can I cancel a marketplace order before it ships?

Yes. As long as the seller hasn't dispatched the item yet, open the purchase in My Purchases and tap Cancel & refund. You get a full refund to your original card right away, and the piece goes back to the seller to re-list.

Once the item has been dispatched you can no longer self-cancel - use Report a problem instead and we'll help sort it. Expert-verification (T2) orders can't be self-cancelled; contact support for those.

Where can I buy prints, and where do you deliver?

Browse open prints from every artist on the Prints page on veriroo.com, in the Veriroo app (Market tab, Prints), or in an artist's own shop, and buy from the print's own page. Each print is made to order by a fine art lab near you and delivered to addresses in the UK and the US; other countries aren't available yet.

Tracked delivery is included in the price. Prices are in pounds sterling.

Can I buy a print without an account?

Yes. On the print page, enter your email, name and delivery address, then pay by card. You'll get an order email and a dispatch email, each with a View your order link, and that link is the only way back to your order, so keep the email.

If you sign in or create an account later, Add to my account on the order page moves the order into your Purchases. Originals, limited editions and certificates still need an account.

Which paper should I choose for my print?

Pick your size first, then your paper:

  • Enhanced Matte Art 200gsm: smooth, no glare and crisp detail. It suits most photographs and digital art, and it's the lowest price
  • Cold Press Watercolour 315gsm: a textured cotton paper, soft and painterly, lovely for paintings and gentle landscapes
  • Hahnemühle German Etching 310gsm: a heavy museum paper with a gentle texture and deep blacks, the premium choice

The preview shows how the image sits on the sheet, not the paper's texture. Some artists offer only some papers.

What if my print arrives damaged?

Veriroo is the seller of every open print, so contact us rather than the artist. Prints are made to order, and if yours arrives damaged we'll reprint it or refund you. Get in touch through Contact us with your order details and, if you can, a photo of the damage.

Print orders don't have the Report a problem button that marketplace orders use. Your statutory rights are not affected.

Will my print have a watermark, and is it signed, numbered or certificated?

No watermark: the lab prints from the artist's original file at full resolution, so any watermark you see on the website is not printed.

Open prints are unsigned, unnumbered and unsealed, come without a Certificate of Authenticity and are not a limited edition. If you'd like a signed, numbered print with a certificate, look at the artist's limited editions.

Selling & commissions

How does selling work on Veriroo?

Selling on Veriroo uses a protected escrow flow. You list your item with a price, optional verification settings and shipping details. When a buyer purchases, their payment is held securely by Stripe. You ship the item (to a verifier first if verification is enabled, or directly to the buyer). The buyer confirms receipt and payment is released to you, and ownership transfers to the buyer. A Certificate of Authenticity is issued if the piece carries one, and every limited edition does.

Open prints work differently: a lab prints and delivers each order and Veriroo is the seller to the buyer, so there is nothing for you to ship.

Why do I need to link a payout account to sell?

Veriroo uses Stripe Connect to handle marketplace payments. Your payout account tells Stripe where to send your money when a sale completes.

  • Without a linked account, funds have nowhere to go and the listing cannot proceed.
  • Setup is a one-time process via Account → Payouts & Connect and takes a few minutes.
  • Veriroo never stores your bank details, they are held securely by Stripe.

If verification is enabled on your listing, your payout account may also be used to cover your agreed share of verifier fees if a sale fails verification.

What shipping options are available when listing?

When listing, you choose how shipping is handled:

  • Veriroo arranges shipping, we book the cheapest available courier through Shippo. The shipping fee is added to the buyer's checkout total to cover the label cost. You just need to pack and hand over to the courier.
  • I'll arrange shipping myself, you book and pay for your own courier. The shipping fee added to the buyer's total is passed through to you as part of your payout.

You'll need to set up a shipping profile on your item (parcel dimensions and weight) before listing.

What details do I need to sell on Veriroo?

To sell smoothly, you'll need:

  • Stripe payout account linked via Account → Payouts & Connect
  • Dispatch address (where you ship from) saved in your account
  • Parcel dimensions and weight set on the artwork's shipping profile
  • Shipping arrangement chosen at listing time (Veriroo books via Shippo, or you arrange yourself)
How do payouts work for sellers?

Payouts are handled via Stripe Connect. Veriroo never stores your bank details directly.

Once the buyer confirms receipt (or the 48-hour auto-release triggers), your payout is calculated as:

  • Sale price
  • Minus 5% Veriroo platform fee
  • Minus Stripe processing fee (est. 1.5% + 20p)
  • Minus any resale royalty due to the original creator

Most payouts arrive within 1 to 3 business days depending on your bank.

When is Secure Transfer / independent verification used?

Secure Transfer adds an independent physical verification step before certificates and funds are released.

  • As a seller you can enable verification on your listing by choosing one or more methods: remote video call, shipping to verifier, drop-in, or call-out.
  • You choose who pays the verifier fee: buyer pays all, seller pays all, or split equally.
  • Higher-value or higher-risk listings may have verification required by Veriroo.

If verification is enabled and the report is declined by the buyer, your agreed share of the verifier fee and return shipping will be charged to your linked payout account.

What if I sell privately outside the marketplace?

Private sales are supported. If a piece changes hands outside Veriroo, record the transfer here so the certificate follows it to the new owner and the provenance record stays accurate. Recording a transfer is free.

The royalty is recorded on the piece, but Veriroo can only pay it automatically on resales through Veriroo.

Do I need to show a visible QR on my artwork?

No. You can use a discreet NFC tag if you prefer. Both point to the same Veriroo record.

Can I showcase my works even if they are not for sale?

Yes. Showcase and marketplace are separate. You can keep works in your public gallery as a canonical record, build reputation, and decide later whether to list them for sale.

I received an email saying someone thinks I made this work, what do I do?

An owner has submitted a lead that you may have created the work.

  1. Review the evidence (images and details).
  2. Confirm or decline authorship.
  3. If you confirm, the item may display your name as the identified artist and appear in your Works view.

Important: confirming authorship does not automatically mark the item as verified. Verification requires an official verification step.

What are the Veriroo seller terms and prohibited items?

By listing or selling works on Veriroo, you confirm that:

  • You are the legal creator, rights-holder, or authorised seller.
  • The work is authentic and accurately described.
  • You have the right to transfer ownership and any associated provenance.

Prohibited items include: counterfeit or forged works, copyright or trademark infringements, stolen goods, items with unresolved ownership disputes, or anything that violates applicable law.

What is a commission on Veriroo?

A commission is a paid agreement where a buyer (commissioner) funds the creation of a new, original work by a specific artist. Veriroo provides a structured workspace for the whole process: from the first invite, through staged progress milestones with work-in-progress evidence, to delivery and settlement. If the collector adds a Certificate of Authenticity when they pay, it is issued automatically when the commission settles; otherwise the artist can issue one afterwards.

Commissions are separate from the marketplace, there is no existing listing. The artist creates the work specifically for this buyer.

How does payment work for commissions?

The buyer pays the full agreed amount upfront. The funds are held securely in escrow by Stripe and are not released to the artist until the buyer actively approves each milestone.

Artists choose a payment schedule when creating the commission:

  • Milestone (20/20/20/40), four stages, ideal for long or complex projects
  • Split (50/50), two stages: half on first progress update, half on delivery
  • Full on delivery, 100% released when the buyer confirms receipt

The schedule is locked at creation and cannot be changed once the commission is set up.

When and how do artists get paid for commissions?

Artists are paid per milestone, at the moment the buyer clicks Approve on each stage. The payment is an automatic Stripe Connect transfer to the artist's connected payout account.

  • Platform fee: 5% is deducted from each milestone transfer
  • Example: a £200 milestone releases £190 to the artist
  • Timing: transfer initiates immediately on approval; bank arrival depends on Stripe and the artist's country

Artists must have a connected Stripe payout account. Set this up at Account → Payout setup before starting a commission.

How does the Commission Tracker work for buyers?

When an artist creates a commission, you receive an invite email with a link to your Commission Tracker page.

From there you can:

  • Pay the full agreed amount, held securely in escrow, nothing reaches the artist without your approval
  • Review work-in-progress evidence at each milestone
  • Approve a stage to release that portion, or Request a correction with a note
  • Confirm you've received the finished piece in good condition, this settles the commission, transfers ownership to you, and releases the final payment

Cancellation. A commission is made to your specification, so it isn't covered by the 14-day right to cancel that applies to ordinary online purchases, it can't be returned simply because you've changed your mind. This doesn't affect your statutory rights: if the piece isn't of satisfactory quality, as described, or fit for purpose, those rights remain whatever you confirmed on delivery.

If you added a Certificate of Authenticity when you paid, it's issued automatically once the commission settles.

Do commissioned works get a Certificate of Authenticity?

A commissioned work gets a full provenance record showing the commission as its origin, you as the first owner, and the artist as the creator, accessible from your account at any time.

For commissions there are two routes to a Certificate of Authenticity. The collector can add one when they pay, for a small separate fee; it is then reserved and issued automatically the moment the commission settles, naming the collector as owner and the artist as maker. If no certificate was added at that point, the artist can issue one afterwards in the usual way.

A certificate is never issued against the work-in-progress placeholder. If the artist hasn't yet added a photo of the finished piece, settlement still completes and the certificate is simply held until they do, and the artist is notified that it's waiting on them.

Outside commissions, a certificate is included when a piece passes expert verification, or can be issued with a CoA credit once the work reaches full provenance.

How does shipping work for a commission?

Commission shipping works one of two ways, chosen by the artist when they set the commission up.

1) The artist arranges their own courier. They set a fixed shipping fee, and it's added to your total and held in escrow with the artwork price, you pay one amount up front (e.g. artwork £30 + shipping £10 = £40), shown before you pay. The artist receives the shipping fee, fee-free, at the end and books the courier themselves.

2) Veriroo arranges shipping. Nothing is charged for shipping up front. The artist may add a rough non-binding estimate at the start. When the piece is finished, Veriroo gets a live courier rate and you pay that exact amount separately, always the real courier price, never a figure the artist invents. Once paid, the label is generated automatically and you get tracking.

You can never be surprised by a large shipping charge at the end. If you'd rather collect in person, switch to collection on your Commission Tracker, and any own-courier fee you'd already paid is refunded automatically.

What happens when my commission is delivered, and what if I don't confirm?

When your commissioned piece is finished and on its way (or ready to collect), confirm receipt on your Commission Tracker to release the final payment and complete the commission.

You don't have to remember to. If you don't confirm, it still settles automatically so the artist isn't left unpaid: 48 hours after the courier marks the parcel delivered (Veriroo-arranged shipping), or after a longer safety window (about 14 days) for own-courier or collection. You can always confirm early.

If something is wrong, use Report a problem. That pauses everything and keeps your payment safely in escrow; it notifies the other party and Veriroo. The hold lifts only when both you and the artist confirm it's resolved.

Can a commission be cancelled or refunded?

Whether a commission can be cancelled depends on where it has got to.

  • Before you've paid: either side can cancel, nothing has been charged.
  • After payment, before any stage has been released: the artist can cancel and you're refunded in full automatically (including any shipping held in escrow). A buyer wanting to cancel after paying should use Report a problem so it's agreed, not one-sided.
  • After a stage has already been released: it can't be cancelled automatically, money has moved and the artist has done part of the work. Veriroo support helps agree a fair resolution.

Because a commission is made to your specification it isn't covered by the ordinary 14-day right to cancel online purchases, but your statutory rights for work that is faulty or not as described always remain.

I'm going away. How do I pause selling or show a longer dispatch time?

Use away mode. It is one setting and it covers every piece you have listed, so you never have to edit your listings one by one.

Where to find it

On the website: Account, then Sales & dispatch. In the app: open Orders and choose the Sales tab. The panel is at the top of the page, above your sales, and it is there even if you have not sold anything yet. Your Showcase settings page also links straight to it.

Setting it

Pick the date you are back on, choose what should happen while you are away, then turn on away mode.

  • Hide my listings, your listings come out of the marketplace until your return date, so no new sale can arrive. The trade off is that you lose that week of people browsing your work.
  • Keep them visible, show a longer dispatch time, your listings stay in the marketplace and each one shows buyers a dispatch estimate counted from your return date, before anyone pays. Orders can still come in, and their dispatch deadline is counted from your return date rather than from the day of the sale, so being away does not put you at risk of an automatic refund.

Not sure which? If you would rather not sell at all while you are away, choose hide. If you would rather keep being found and post everything when you get back, choose keep visible.

Switching it off

The same panel has turn away mode off, but you do not have to remember. The date is self expiring, so if you forget, your listings come back and your dispatch estimate returns to normal on the day you said you would be back.

One thing to know

Away mode applies to new sales only. Orders you already had before switching it on keep their existing dispatch dates, because those buyers have already paid and were given a date. If you need longer on one of those, request an extension on that order so the buyer is told about the change.

How do I sell prints of my work?

Open a piece you created and set up prints: pick the sizes and papers, say what you want to earn on each print, and Veriroo works out the customer price. A fine art lab prints each order and delivers it, and Veriroo is the seller to the buyer, so there is nothing for you to pack or post.

Your prints appear on the Prints page for buyers in the UK and the US, and with Artist Pro they also get your own artist shop. You need Stripe payouts connected to be paid. Only the creator can sell prints of a piece, and a photograph or digital work sold as one of a kind can't also have open prints.

How are print prices set, and what do I earn?

You choose what you want to earn on each print, either double the printing cost (the default) or a set amount, and Veriroo works out the customer price from that. The price covers printing and delivery at cost with no mark-up, the Veriroo fee of 15% of the price (minimum £3 a print, with card processing already inside it), and a tax reserve: UK VAT on UK orders and a 10% sales tax reserve on US orders. The buyer carries these, so you keep your target; it can differ by a pound or two between UK and US orders, which is why you see a range.

If printing costs, the fee or tax change, the price is adjusted to hold what you earn and you're told each time; a change of more than 20% pauses the listing and asks you first. You're paid when the lab ships the order.

Which print sizes and papers can I offer?

There are three papers, and all three are offered by default:

  • Enhanced Matte Art 200gsm: smooth, no glare, crisp detail; suits most photos and digital art
  • Cold Press Watercolour 315gsm: textured cotton, soft and painterly; suits paintings and gentle landscapes
  • Hahnemühle German Etching 310gsm: heavy museum paper with a gentle texture and deep blacks; the premium choice

There are eleven sizes, from 20 x 30 cm to 70 x 100 cm, including four square sizes. Verity suggests up to four that suit your image's shape, edge to edge with no border where it can. A size your file can't print sharply isn't offered, and you're told why. Prints are made from the image you uploaded, so a larger original gives more sizes.

What is my artist shop and how do I get one?

Your artist shop is your own storefront for prints at veriroo.com/showcase/your-name/shop, showing your print products grouped by piece, plus buttons to your originals and limited editions whenever you have some for sale. It comes with Artist Pro and opens automatically when you list your first print.

In Shop settings (or My shop in the app) you can set the shop name, intro line, theme and share card, and copy the link or download a QR code. Switching the shop off takes every one of your prints off sale at once, everywhere, while keeping your sizes and prices for when you switch it back on; you still see your own prints so you can keep editing them. Without Artist Pro, your prints still sell on the Prints page.

What does "Let Verity manage your shop" do?

It's a panel at the top of Shop settings with six switches, so Verity can:

  • Choose print sizes
  • Set the starting price at double the printing cost
  • Propose a crop where a size needs one
  • Send your monthly shop report
  • Put new pieces on sale as prints automatically
  • Raise prices when demand earns it

Turn on the main switch for all six, or choose exactly the ones you want. Each switch saves instantly, and switching one off hands that job back to you. Automatic listing and price rises start off. Verity never cuts prices because of demand and never puts originals on sale. It's part of Artist Pro.

How does automatic listing work, and why wasn't my piece put on sale?

With "Put new pieces on sale automatically" on, Verity checks every hour and lists pieces you uploaded after switching it on, once they are 30 minutes old, using its sizes, your papers and double the printing cost, with no crops. Private pieces count too: private only means not shown on your public gallery.

A piece is skipped if it was uploaded before you switched it on, already has a print listing, had its prints cancelled or switched off by you before, hasn't cleared image checks yet, or you weren't on Artist Pro at the time. Each piece is tried once; if it fails, for example because the file is too small to print sharply or payouts aren't set up, the reason is in your activity log. Once that's fixed, switch on Prints in your shop on the piece's upload checklist to list it straight away.

Will Verity change my print prices?

Only in two ways, and you're told every time. If printing costs, the fee or tax change, the price is re-worked so you keep your target: moves up to 20% happen automatically, and bigger ones pause the listing until you decide.

If you switch on "Raise prices when demand earns it", a size that has sold at least 25 times, with at least 5 in the last 30 days, gets a 10% rise in what you earn, at most once every 90 days, checked on the 1st of each month. Verity never cuts a price because of demand, never reprices a customer price you typed yourself, and your own edits always win.

What is the monthly shop report?

On the 1st of each month Verity emails Artist Pro shops a short report on the month just ended: views, prints sold and what you earned, up to three suggested actions, how close your pieces are to having enough sales for pricing advice, and anything Verity did for you, such as pieces put on sale or prices raised.

You get it once a print has been on sale for a whole month, and quiet months with nothing to report are skipped. The first reports go out on 1 October 2026. You can unsubscribe in one click from the email, or turn it off in Shop settings.

Secure Transfer & verification

What is Veriroo Secure Transfer?

Secure Transfer is an optional independent physical verification step added to a marketplace sale.

Instead of the artwork going directly from seller to buyer, it passes through an independent Verification Partner first. The verifier inspects the item, submits a report, and only then are funds released and the CoA issued.

It gives buyers confidence that what they receive is what was listed, independently confirmed before ownership and payment are finalised.

Is Secure Transfer required for all sales?

No. Secure Transfer is optional and enabled per listing by the seller.

Standard sales go directly from seller to buyer with escrow protection but no physical verification step.

Sellers may choose to enable it to increase buyer confidence, particularly for high-value works.

How does Secure Transfer work step by step?

The Secure Transfer process:

  1. Seller enables Secure Transfer on the listing and selects a verification method.
  2. Buyer purchases, payment held in escrow by Stripe.
  3. Seller ships the artwork to the assigned Verification Partner.
  4. Verifier inspects and submits their report.
  5. Report released after the 48-hour review window.
  6. Verifier ships the artwork on to the buyer.
  7. Buyer confirms receipt, funds released, ownership transfers, CoA issued.
Who pays for the Secure Transfer verification?

The seller chooses who pays the verifier fee:

  • Seller pays, absorbed into the sale
  • Buyer pays, added to checkout total
  • Split, shared between both

The verifier fee is separate from Veriroo's 5% platform fee. The full breakdown is shown to the buyer before purchase.

What happens if an item fails verification during Secure Transfer?

If the verifier's outcome is Not authentic or raises serious concerns, the sale is paused and both parties are notified.

  • Funds are not released while the dispute is active
  • The buyer can raise a dispute and request a refund
  • The verifier's report is recorded permanently in provenance
  • The item is not automatically relisted
Does Veriroo guarantee authenticity with Secure Transfer?

No. Veriroo provides infrastructure for independent expert verification, we do not guarantee or endorse the outcome of any verification.

The verifier's report is their independent professional opinion. Veriroo records it in provenance for transparency but takes no position on authenticity.

For high-value works, additional independent opinions are always advisable.

Can I browse the marketplace as a Verification Partner?

The marketplace is public, so anyone can view listings. However, Verification Partners cannot take verifier actions on items they are not assigned to, and must avoid conflicts of interest. Your verifier permissions only apply within your assigned verification jobs.

Do Verification Partners have a public profile?

Yes. Verification Partners can have a public profile showing credentials, specialisations, and region served. This helps buyers understand why a verification is credible. Profiles do not expose private customer data or private fingerprint notes.

What can I access as a Verification Partner?

You can only access the specific items you are assigned to verify. Access to any private fingerprint notes is NDA-bound and time-limited (typically 7 days or until you submit your report). You cannot edit core artwork metadata or ownership history.

Why do I need to accept an NDA for some jobs?

Some creators choose to share private fingerprint notes (materials, marks, high-resolution evidence) to help an inspection. Where this is provided, Verification Partners must accept an NDA before viewing it. This protects the creator's techniques and reduces fraud risk.

Trust, disputes & reputation

What stops bypass sales?

Visible verification and buyer expectations. Serious buyers want recognised ownership and insurance-ready provenance. Off-platform sales don't convey those benefits and won't pay royalties.

What about undervaluation to reduce royalties?

Sale values are public on the item's verified page. Under-reporting lowers perceived value for future buyers and insurers, which harms resale potential. Not recommended.

Lost or damaged IDs?

Controlled replacement links a new QR/NFC to the same record and marks the old one Replaced/Void, keeping the history intact.

Private sales?

You can still record a private sale on Veriroo, free, so the ownership record and certificate follow the piece to its new owner without listing it publicly. Royalties are only paid automatically on sales settled through Veriroo, so a transfer recorded after a private sale carries no royalty payment.

How do transfers work?

Seller initiates, buyer confirms, and Veriroo updates the owner record. On a sale settled through Veriroo, any royalty due is paid to the creator automatically. Recording a transfer after an off-platform sale is free and carries no royalty payment.

What do buyer reliability indicators mean?

Buyer reliability indicators give sellers a high-level view of how smoothly a collector has completed past purchases.

They are based on signals such as timely confirmations and completed settlements. Indicators are summary-only and designed to support informed decisions, not to block sales. Every new buyer starts neutral and can improve their standing over time.

What does "Settlement paused" mean?

Settlement is paused when a delivery or acceptance issue is reported.

While paused, funds are not released to the seller. You can add details from your account so the issue can be reviewed quickly. Once resolved, settlement continues and the sale can be closed.

Galleries & partners

Can buyers complete transfer on their phone?

Yes. They scan and confirm ownership, no app required.

What happens at point of sale?

Scan the item, confirm buyer details, and complete a verified transfer, the buyer leaves as the registered owner.

Can we showcase pieces we hold or exhibit?

Yes. Galleries can showcase items they are authorised to hold or exhibit. Public attribution is labelled clearly (e.g. "Exhibited by" or "Represented by") and does not imply ownership.

Do you support consignments?

Yes, consignor and custody are recorded; final sale triggers the transfer and royalty split if configured.

Can we showcase stock or editions?

Yes. Shops can showcase stock items and verified editions. Attribution is labelled (e.g. "Available at") and does not imply authorship or ownership beyond retail custody.

How do I brand the certificates?

Veriroo supports white-label branding for retail and gallery partners. Contact support to discuss your requirements.

Do we see owner identity?

No. Identifying data is redacted unless the owner authorises disclosure for a claim.

How do we integrate?

Use our API for claim checks with signed, scoped tokens. Web portal access is also available.

AI-generated art

Is AI-generated art real art? Can it be authenticated?

Yes — and provenance matters even more for AI art than for traditional work. The same prompt rarely produces the same image twice. Different seeds, different model states, different iterations all produce different results. The specific image you see is the result of a creative process: the human wrote the prompt, chose the direction, ran iterations, and selected this image over others. That creative selection is the art. Veriroo records the prompt, the tool used, the model version, and your description of your role — creating a provenance record that proves this specific image came from this specific creator at this specific time.

What does Veriroo record for AI-generated artwork?

For AI-generated work, Veriroo records: the AI tool used (e.g. Midjourney, DALL·E, Stable Diffusion), the model version if you know it, your prompt or creative direction, your human contribution statement if you give one (describing your role in the creative process), the date of creation, and your identity as the creator. This creates a provenance record that is specific to this image, not just the prompt, but the unique output you selected and are claiming as your work.

What is a human contribution statement and why does it matter?

A human contribution statement is your description of the creative role you played in making this work. For example: how many iterations you ran, what you were trying to achieve, what you refined, what creative choices you made in selecting and directing the output. It matters because it’s the bridge between the AI tool and you as the artist. It demonstrates that this wasn’t a single accidental prompt, it was a creative process with you at the centre. Verity asks for one when you tell her a piece is AI generated art. It is optional, and when you give one it becomes part of the piece’s record.

Won’t the same prompt produce the same image? How can AI art be unique?

No — and this is exactly why AI art provenance matters. The same prompt fed into the same AI tool will almost never produce the same image twice. Random seeds, model state, temperature, and inference variations all mean the output is non-deterministic. Even with a fixed seed, results differ between model versions. The specific image you are selling or displaying is a unique output. The provenance record — prompt, tool, version, date, creator identity — is what proves this specific image is yours.

Showcase

What is Showcase and who can use it?

Showcase is Veriroo's public space for enjoying art. Any registered user can switch pieces on to Showcase, where they show the artwork, trust status and provenance signals without revealing your personal identity unless you choose to. Showcase never shows prices: a piece that is also listed for sale shows a quiet For sale link. Your own public artist gallery page needs Artist Pro.

How do I add an item to my Showcase?

Go to the item page in your collection and toggle the Showcase switch. The item will appear on your public gallery immediately. You can toggle it off at any time to remove it from public view.

Statuses & Verification

What does "Certified & Sealed" mean?

This piece holds a Veriroo Certificate of Authenticity and carries a physical Secure Seal, a tamper-evident NFC tag linked to this record. Tapping the seal runs a live, one-time cryptographic check and opens this piece’s record.

What it does and doesn’t say: the seal confirms it’s a genuine Veriroo seal bound to this record. It is not by itself a statement of who made the artwork, the certificate and provenance cover that. Together they’re Veriroo’s strongest everyday assurance.

Tamper-evidence: the seal is tamper-evident, removing or tampering with it is designed to show, and breaks live verification.

Buyers: tap the seal to confirm it verifies live before you buy.
Sellers: keep the seal on the piece; if it’s lost or damaged, request a replacement through Veriroo, don’t remove it.

What does "Expert Certified & Sealed" mean? (highest trust level on Veriroo)

The most assurance Veriroo offers. A Certificate of Authenticity, a documented creation/provenance trail, independent review and certification by a named expert, and a physical Secure Seal bound to the record and verifiable with a tap.

Paper trail + independent expert + physical seal, nothing here carries more.

Uploading & listing

How do I start a WiP (work-in-progress) item?

Start any piece in the Upload Wizard (the + Upload button), it handles works-in-progress as well as finished works, so you don't need a final image to begin. Add what you have, confirm ownership and save to create the item.

From there, open the item's Work in Progress & Commissions section to document the work as it develops: add dated notes and upload images separately into its WiP, Notes and Forensic Evidence records. This builds a verified provenance trail over time, and you can swap in the finished image whenever the work is complete.

How do I upload my artwork?

You register artwork through the Veriroo Upload Wizard, open it with the + Upload button in the top navigation. It's a guided, resumable flow: add your photos, confirm ownership, choose your watermark, and add the details (title, story, medium, materials, dimensions). Your main image becomes the permanent primary record of the artwork, so make sure it's an accurate representation.

Once saved, the item lands in My Collection with a per-item checklist to build provenance, get a certificate, add it to your Showcase, run a Verity valuation, and list it on the marketplace.

The wizard also covers works-in-progress, and you can keep adding images to a piece over time, into its Notes, Forensic Evidence and WiP records in Work in Progress & Commissions, building a verified provenance trail as the work develops.

How should I prepare my image before uploading?

Take the photo in natural daylight or with soft diffused lighting, and avoid harsh shadows or flash glare. Shoot the piece flat-on and square to the camera to avoid distortion, and crop tightly to the artwork edges. Use the highest resolution your camera or phone allows, at least 2000px on the longest side, and save as JPG or PNG. The image becomes the permanent hero image on your provenance record, so it is worth taking the time to get it right.

If you plan to sell prints, prints are made from this file, so bigger is better: about 2400px or more on the long edge is a good start, and any size the file can't print sharply is not offered.

What is Green Status and how do I get it?

Green Status is the highest provenance rating on Veriroo. It means your artwork record is complete and trustworthy enough to issue a Certificate of Authenticity. To reach Green Status you need: a title, medium and materials, dimensions, a linked artist profile, an artist story or statement, at least one provenance note or fingerprint record, and a primary image. Verity will show you exactly which criteria you’ve met and what’s still needed.

Why do I need to add dimensions?

Collectors often need to know a piece will physically fit in their space before they fall in love with it. Adding dimensions — even approximate ones like ‘60 x 80 cm’ — removes a common barrier to purchase and improves your listing’s trust score. It’s also required for Green Status.

What is Work in Progress & Commissions, and WiP provenance?

To start a WiP item, go to My Collection and press the Start a Work in Progress button. Give the piece a title and optionally mark it as a commission. For the cover image, choose one of four stock WiP-themed placeholder images, or upload your own, you can swap it for the finished piece at any time.

Once created, the item has its own Work in Progress & Commissions section where you add dated notes and photos at each stage. This builds a verified WiP trail that contributes to the artwork's living provenance.

  • wip_verified (amber): at least 1 public entry that counts toward provenance.
  • Full provenance ready: 3+ public dated entries with at least 1 public photo or video. This unlocks the ability to request a Certificate of Authenticity.

The provenance progress bars in Work in Progress & Commissions show your status in real time.

What are work-in-progress notes and why should I add them?

Work-in-progress (WiP) notes are dated photos and written records showing the piece being made. Adding them to Work in Progress & Commissions strengthens your provenance chain, it's evidence that you created the work. Even a quick phone shot of the canvas at different stages counts. Collectors and verifiers trust pieces with WiP evidence significantly more.

To add notes: open the item in My Collection and go to its Work in Progress & Commissions section (linked from the item page). Notes and photos are added there under WiP evidence. Mark entries as Public to have them count toward your provenance score and appear on the verify page.

What is the wip_verified status?

wip_verified (shown as amber) means the artist has documented a full work-in-progress trail through Work in Progress & Commissions, but a Certificate of Authenticity has not yet been issued.

The item remains amber until a CoA is issued, at which point the status upgrades to full provenance (green).

A wip_verified item is a strong trust signal, it shows the piece has a documented creative history even without formal verification.

How do I request a Certificate of Authenticity?

Once your artwork reaches full provenance (a green status), you can issue a Certificate of Authenticity from CoA Services in your account. Each certificate uses one CoA credit: £5 for one, or less each when bought in packs. The certificate is a digital document linked permanently to your artwork record, with your name, the artwork details, provenance notes and a QR code anyone can scan to verify it.

If your work passes expert verification, a certificate is included in the verification fee, so you don't need to request one. NFC Secure Seals can be bound once a certificate exists; they are currently on pre-order.

How do I set royalties and what rate should I choose?

Set your royalty rate, from 0 to 25%, when listing your piece. It locks when listed and unlocks if you delist, but it can't be changed after the first sale. Many artists start with a lower rate (2 to 5%) while building their collector base and raise it as demand for their work grows. Veriroo pays your royalty automatically on resales settled through Veriroo. Open prints carry no royalty.

Separately, the EU Artist's Resale Right Directive sets a statutory royalty on resales over €3,000, on a sliding scale from 4% down to 0.25%, capped at €12,500 per transaction, and the UK has an equivalent under the Artist's Resale Right Regulations 2006. Veriroo does not collect these statutory royalties.

Why does Verity ask where I imagine my artwork being placed?

Collectors connect with artwork more easily when they can picture it in a real space. Knowing whether a piece suits a living room, a dining room, a log cabin, or a creative studio helps them imagine it in their own home. This context also helps Verity make better personalised recommendations to collectors who are looking for something that fits a specific room or mood.

What's the difference between uploading and starting a WiP?

There's now one place to register a piece, the Upload Wizard, and it covers both finished works and works-in-progress (WiP). Use it as soon as you have a piece to register, even without a final photo.

The difference is in how you use it afterwards. A finished work can move straight on to provenance, certificate and listing. A work-in-progress is documented over time in Work in Progress & Commissions, where you add dated notes and upload images separately into its WiP, Notes and Forensic Evidence records, building the provenance trail before the piece is complete. You can swap a placeholder for the finished image at any time.

How do I register a piece I'm creating as a commission?

Use My Collection → Start a WiP and tick This is a commission piece when creating the item. This links the WiP to a commission from the start and enables the commission milestone workflow.

Don't use + Upload for commission work in progress, that flow is for finished works only.

Before the final stage: replace the work-in-progress placeholder with a photo of the finished piece, using the Final image of the finished piece step on the commission tracker.

  • You can't submit final-stage evidence or mark the commission complete while the placeholder is still showing
  • No Certificate of Authenticity is issued against a placeholder, it has to depict the actual work
  • Earlier progress stages are unaffected; a placeholder is fine while the work is genuinely in progress

Verification

How does expert verification work if I'm requesting it?
  1. Choose a verifier from the directory and submit your request.
  2. Verifier accepts or declines within 72 hours. If accepted, you are prompted to pay.
  3. Pay to confirm. Your card is authorised but not charged until the report is released.
  4. Inspection takes place as agreed.
  5. Verifier submits their report. A 48-hour review window opens.
  6. Review and release. Release manually or it auto-releases after 48 hours.
  7. Outcome recorded on the item's provenance history.
How do I find a verifier?

Use the verifier directory to search by specialism, region, and verification method. You can filter by:

  • Remote, video call inspection
  • Shipping, you ship the artwork to the verifier
  • Drop-in, you take the piece to the verifier
  • Call-out, the verifier travels to the artwork

Verifier profiles show credentials, specialisms, region, and fee. If you know an expert who is not yet on the platform, you can invite them to join as a Verification Partner.

Can I use an expert who is not on the platform?

Yes. If you know and trust an independent expert who is not yet on Veriroo, you can invite them to join as a Verification Partner.

They will need to:

  • Complete a short registration on Veriroo
  • Connect a Stripe payout account to receive payment

Once registered, you can nominate them specifically when listing an item with verification enabled (drop-in or call-out methods) or when submitting a standalone verification request.

When is my card charged for a verification request?

Your card is authorised when you complete payment after the verifier accepts your request. It is not charged at that point.

Payment is only captured once the verifier submits their report and the 48-hour review window closes, either because you release the report manually, or automatically after 48 hours.

If the job is cancelled before the report is submitted, the authorisation is released and you are not charged.

What is the 48-hour review window?

When the verifier submits their report, a 48-hour review window opens. During this time you can:

  • View the full report including notes and evidence.
  • Release it immediately, captures payment and closes the job.
  • Raise a dispute, only if the report was not completed properly. Disagreeing with the verifier's opinion is not grounds for a dispute.

If you take no action within 48 hours, the report is released and payment captured automatically.

How do I release a verification report early?

Go to My Verification Requests and find the job. When the verifier has submitted their report, a banner appears with two options:

  • View report, opens the full report page.
  • I've reviewed it, release now, releases the report immediately, captures payment, and closes the job.

If you don't release manually, the report is released and payment captured automatically after 48 hours.

How do I view a verification report as the requester?

Once the verifier submits their report, you'll receive a notification and the report becomes available in My Verification Requests.

Find the job and click View report to read the full report, including the verifier's outcome, notes, and any supporting evidence.

The report is available immediately on submission, you don't need to release it first. Releasing (or the 48-hour auto-release) captures payment and closes the job.

How do I raise a dispute on a verification job?

During the 48-hour review window, you can raise a dispute if the report was not completed properly, for example if evidence is missing or the inspection was not carried out as agreed.

Go to My Verification Requests, find the job, and select Raise a dispute. Both parties must agree on a resolution:

  • Resolve and continue, job resumes, report released
  • Resolve and cancel, job closed, payment not captured

Disputes are for process issues only, you cannot dispute the verifier's professional opinion.

What verification outcomes can a verifier select?

Verifiers can select from the following outcomes:

  • Authentic, the item is verified as authentic
  • Likely authentic, good reason to believe it is authentic but cannot confirm with certainty
  • Inconclusive, evidence was insufficient to reach a conclusion
  • Not authentic, the item does not appear to be genuine
  • Condition report only, condition assessed without making an authenticity judgement

The outcome is the verifier's independent professional opinion and is recorded once the report is released.

How does the verification job process work as a Verifier?

The verification job process:

  1. You receive a request and have 72 hours to accept or decline.
  2. If you accept, the requester pays. Payment is authorised but not captured yet.
  3. Inspection takes place by the agreed method (remote, shipping, drop-in, or call-out).
  4. You submit your report with outcome, notes, and evidence.
  5. A 48-hour review window opens for the requester.
  6. Once released, payment is captured and your fee transferred to your Stripe payout account.
When do I get paid for a verification job?

Payment is transferred to your Stripe payout account once the report is released, either when the requester clicks Release, or automatically after 48 hours.

Stripe initiates the transfer immediately. Arrival typically takes 1 to 3 business days depending on your country and Stripe payout schedule.

You must have a connected Stripe payout account before accepting jobs. Set this up at Verifier Profile → Payout.

What platform fee does Veriroo take from verification jobs?

Veriroo deducts a platform fee from each verification job payout. The fee is shown before you accept.

  • Free account: 20% of the verification job fee
  • Pro subscription: 10% of the verification job fee

The fee is deducted automatically before the transfer reaches your payout account.

Can I view my submitted report?

Yes. Once you submit a report, a View report button appears on the job card in your Verifier Dashboard and on the job detail page. You have the same read access to the report as the requester.

What happens if the requester raises a dispute?

If a requester raises a dispute, you will be notified and the job will be paused. Payment is not captured while a dispute is active.

Both parties must agree on a resolution:

  • Resolve and continue, the job resumes and the report is released.
  • Resolve and cancel, the job is closed and payment is not captured.

Both parties must select the same option for the dispute to resolve.

Do I need a payout account to accept verification jobs?

Yes. You must connect a Stripe payout account before you can accept any verification jobs.

Set this up from Verifier Profile → Payout. The inspection will not be unlocked for the requester until payment is authorised, and your payout cannot be processed without a connected account.

Your collection & pieces

Can I delete a piece I uploaded by mistake?

Yes, as long as nothing has been recorded against it yet.

On the website open My art, click the eye or bag icon on the piece's card to open its panel, scroll to Tidy up and choose Delete permanently. You will see exactly what will be removed, then type DELETE to confirm. The same control is on the piece's own page under Ownership, and in the app on the piece screen under Tidy up.

Deleting removes the piece, its images and thumbnails, its progress entries, notes and forensic notes for good. Anyone with its old link or QR sees a single line saying the record was removed. It cannot be undone.

If the piece already has a certificate, a sale, a change of owner, a Secure Seal, a verification or a commission against it, its record has to stay because other people rely on it, so Delete is not offered and you will see the reason instead. In that case use Hide from collection, which takes it out of your view without removing anything and can be reversed at any time. A piece that is on sale has to be taken off sale first.

I am the artist but someone else owns the piece. Can I remove it from my gallery or my name from it?

Yes, in one of two ways.

To take it out of your public gallery and the Showcase while keeping your name on the record, hide it: open the piece and choose Hide from collection under Tidy up. That can be undone at any time.

To end your link to the piece altogether, open its public page and choose Leave this piece under your name. If nothing has been recorded against it (no certificate, sale, transfer or seal), your link ends, your name and any documents you supplied come off it, and the owner keeps it as an unattributed piece. If a certificate or a sale does name you, that record has to stay for the person who holds it, so instead the piece shows Attribution withdrawn by the artist with the date, and it leaves your gallery. The owner is told either way. Leaving cannot be undone from your side; re-linking goes through the normal claim.

You cannot delete a piece someone else owns, because the record is theirs.
